1. About this policy
J Dental Care Group (“J Dental Care,” “we,” “us,” or “our”) operates dental practices in Ontario, Canada, and the website jdentalcare.ca. We are committed to protecting the privacy of our patients and website visitors.
This policy explains what information we collect, how we use it, who we share it with, and the choices you have. It applies to our website, our online forms, our phone lines, our text messaging, our web chat, and our social media advertising.
We handle personal information in accordance with Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA) and, in respect of patient health information, Ontario’s Personal Health Information Protection Act, 2004 (PHIPA). As a dental practice, we act as a health information custodian under PHIPA.

2. Information we collect
Information you give us directly. When you submit a form, book an appointment, call us, text us, or use our web chat, we may collect your name, phone number, email address, preferred location, appointment preferences, and anything else you choose to tell us — including the reason for your visit.
Health information. As your dental care provider, we collect and maintain personal health information, including dental and medical history, treatment records, clinical notes, images and X-rays, prescriptions, and insurance and billing details. This information is collected for the purpose of providing dental care and is protected under PHIPA.
Information collected automatically. When you visit jdentalcare.ca, we and our analytics and advertising partners automatically collect technical information such as your IP address, device and browser type, operating system, pages viewed, links clicked, time spent on pages, the website that referred you, and general location (city/region — not precise GPS). This is collected using cookies and similar technologies (see Section 6).
Call information. Our phone lines use call tracking, and calls to and from our practice may be recorded and monitored for quality assurance, staff training, and record-keeping. See Section 5.
3. How we use your information
We use your information to:
- Provide dental care, and schedule, confirm, remind you about, and follow up on appointments
- Respond to your calls, texts, chat messages, form submissions, and questions
- Contact you about your care, your account, or your treatment
- Process payments and handle insurance claims
- Send you appointment reminders and, where you have consented, promotional offers and practice news
- Operate, maintain, and improve our website and services
- Measure how our advertising performs and show relevant ads (see Section 4)
- Ask for your feedback or a review of your experience
- Meet our legal, regulatory, professional, and record-keeping obligations
We rely on your consent to collect, use, and disclose your personal information, except where the law permits or requires us to act without it.
4. Advertising, analytics, and tracking technologies
We advertise online, including on Meta (Facebook and Instagram) and Google. To understand whether our advertising works, we use the following tools on our website:
Meta Pixel. We use the Meta Pixel, a tool provided by Meta Platforms, Inc. It collects information about your activity on our site (such as pages viewed and forms submitted) and shares it with Meta. This allows us to measure the results of our ads, understand the actions visitors take, and show ads to people who have visited our website or who resemble our visitors (“custom” and “lookalike” audiences). Meta may use this information for its own purposes in accordance with its own data policy. Google Analytics 4. We use Google Analytics to understand how visitors find and use our website. It collects information such as pages viewed, session duration, and general location. You can opt out using the Google Analytics Opt-out Browser Add-on at tools.google.com/dlpage/gaoptout.
Google Ads. We use Google Ads conversion tracking to measure the results of our search advertising, including calls generated from ads.
We do not send special categories of information — including information about your specific dental or medical conditions or treatments — to advertising platforms. Our advertising tools are used on our public marketing website only.
Your choices. You can control cookies through your browser settings (see Section 6). You can also opt out of interest-based advertising through the Digital Advertising Alliance of Canada at youradchoices.ca.
5. Phone calls, call recording, and our AI receptionist
Our practice uses tracked phone numbers so we can understand which marketing brings patients to us.
Call recording. Calls to and from our practice may be recorded and monitored for quality assurance, staff training, accuracy of records, and dispute resolution. If you do not wish to be recorded, please tell us at the start of the call, or contact us in writing or in person instead.
Automated / AI call answering. Some calls may be answered or assisted by an automated virtual receptionist. Conversations with our virtual receptionist may be recorded, transcribed, and processed by our technology providers to answer your questions, take a message, and route your call. A member of our team is always available if you prefer to speak with a person — simply ask.
Recordings and transcripts are stored securely, used only for the purposes above, and retained in line with Section 9.
6. Cookies and similar technologies
Cookies are small files placed on your device. We use:
- Necessary cookies, which make the website function
- Analytics cookies, which help us understand how the site is used
- Advertising cookies, which help us measure and target our advertising
Most browsers let you refuse or delete cookies through their settings. If you block cookies, some parts of our website may not work properly. Blocking advertising cookies does not stop you from seeing ads — it just means they are less relevant to you.
7. Text messaging (SMS)
If you provide your mobile number and consent, we may send you text messages about your appointments, your care, and — where you have separately agreed — offers and practice news.
- Consent is not a condition of receiving dental care or purchasing anything from us.
- Message frequency varies. Message and data rates may apply.
- Reply STOP at any time to unsubscribe. Reply HELP for help, or call us at your branch.
- Carriers are not liable for delayed or undelivered messages.
We do not sell, rent, or share mobile phone numbers or SMS consent information with third parties or affiliates for their own marketing purposes. Mobile information collected for text messaging is used only to deliver the messages you have asked for, and is shared only with the service providers who help us send them.
You can withdraw your consent to text messaging at any time by replying STOP or by contacting us using the details in Section 13.
8. How we share your information
We do not sell your personal information.
We may share your information with:
- Your care team. Other health care providers within your “circle of care” — such as specialists, laboratories, or your physician — where needed to provide or support your dental treatment.
- Insurers and payment processors, to process claims and payments you have authorized.
- Service providers, who perform functions on our behalf — including our practice management software, appointment and messaging platform, phone and call-recording provider, website host, and analytics and advertising partners. They are permitted to use your information only to provide services to us and are required to protect it.
- Advertising and analytics platforms, as described in Section 4, in respect of website activity only.
- Legal and regulatory authorities, where we are required or permitted by law to disclose information — for example, in response to a court order, or to a regulatory college.
Some of our service providers may store or process information outside of Canada, including in the United States. Where that happens, the information may be accessible to courts, law enforcement, and national security authorities of that jurisdiction. We take reasonable steps to ensure our providers protect your information appropriately.
9. Retention
We keep personal health information for as long as required by Ontario law and the record-keeping requirements of the Royal College of Dental Surgeons of Ontario — generally at least ten (10) years after the last entry in the record, or ten (10) years after a patient reaches the age of eighteen (18), whichever is later.
Other information — such as marketing enquiries, website analytics, and call recordings — is kept only as long as needed for the purpose it was collected, and then securely destroyed.
10. Safeguards
We protect your information using physical, organizational, and technological safeguards appropriate to its sensitivity — including restricted access, staff confidentiality obligations and training, secure and access-controlled systems, and encryption in transit where appropriate.
No method of transmission or storage is completely secure. Please do not send us sensitive health information by unsecured email or through social media.
11. Your rights
You have the right to:
- Access the personal information and health records we hold about you
- Correct information that is inaccurate or incomplete
- Withdraw consent to non-essential uses — such as marketing emails, text messages, and promotional calls — at any time
- Ask questions or complain about how we handle your information
To exercise any of these rights, contact our Privacy Officer (Section 13). We will respond within the timelines required by law. We may need to verify your identity before acting on your request. In limited circumstances the law allows us to refuse a request; if we do, we will tell you why.

12. Children’s privacy
We provide dental care to patients of all ages, including children, and we collect children’s health information with the consent of a parent or legal guardian. Our website and our advertising are not directed to children, and we do not knowingly collect personal information online from children for marketing purposes.

Our website may link to other websites. We are not responsible for the privacy practices or content of those sites. Please review their privacy policies before providing them with information.
15. Changes to this policy
We may update this policy from time to time. The updated version will be posted on this page with a new “Last updated” date. Material changes will be brought to your attention where required. Please review this page periodically.
